How Much Does Time Tracking Software Cost? Time Clock Hardware vs. App

The cost of time tracking software has four parts: the subscription or license, any hardware, setup and training, and the admin time you spend running it. The honest answer to "how much does it cost?" is a formula, not a number, and the cheapest sticker price is often not the cheapest system once errors and labor are counted.

This article compares time clock hardware with an app, lists the cost lines to ask about, and runs the math with hypothetical numbers, which are labeled as such. We do not quote prices for any product here, because vendors change them and your quote depends on your team. It is general information, not tax or legal advice.

Do not forget the cost of switching. Moving from paper or a spreadsheet takes a few hours of setup and a pay period or two of parallel checking. That is a one-time cost, so spread it over several years when you compare.

Questions about payroll integration

Many buyers assume a time system will connect to their payroll software. Integrations differ by provider and by plan, and some are file imports rather than live connections. Ask which payroll providers are supported, whether the connection is built in or manual, who fixes it when it breaks, and whether it costs extra.

If there is no direct connection, a clean export can still save most of the work, as long as the totals match the pay period and overtime is separated. Request a sample file, and have your payroll provider or bookkeeper confirm it works before you sign. See time tracking and payroll integration.

The four cost lines

First, the software fee. Vendors price per user, per location, per month or by tier, so ask for a total at your headcount and at 20 percent more employees. Second, hardware: clocks, mounts, cables and network access, plus replacement if one breaks.

Third, setup and training: importing employees, setting rates and rules, and teaching managers. Fourth, ongoing admin: time spent approving timesheets, fixing punches and preparing payroll. This last line is invisible in a quote and often the biggest. Hours spent every pay period add up quickly.

Time clock hardware: what to count

A wall-mounted clock needs to be bought, installed, networked and maintained. It also ties employees to one location, which does not fit remote staff, delivery crews or several sites. Multiply the cost per clock by the number of locations and entrances, and add replacement cycles.

Hypothetical example: a clock costs $400.00, you have 3 locations, and you replace each every 5 years. Over 5 years the hardware is 3 x $400.00 = $1,200.00, or $240.00 per year, before installation. Keep in mind that biometric devices can trigger state privacy laws such as Illinois BIPA, which require written notice and release. See biometric time clocks and BIPA.

App-based time clocks: what to count

An app runs on phones employees already own, so hardware cost is usually zero, but check the phone policy: who pays for data, what happens if someone has no smartphone, and whether a shared tablet is needed. An app also works for remote and field workers and updates without a site visit.

The cost lines are the subscription plus onboarding and admin. Ask whether there are fees for extra users, extra locations, reports, support or data export, and whether you can cancel at any time. Compare annual cost at your size, not the entry-level monthly price.

Hidden cost of errors: a hypothetical example

These numbers are hypothetical. A company has 25 employees paid $20.00 per hour. Informal rounding and early punches give each employee 4 minutes of unearned paid time per day. Over 250 workdays, that is 4 x 250 = 1,000 minutes per employee, or 16.67 hours. For 25 employees: 25 x 16.67 = 416.7 hours, and 416.7 x $20.00 = $8,333.00 per year.

Errors can also run the other way, and underpayment carries legal risk: back wages plus an equal amount in liquidated damages and attorney fees, with a 2-year lookback (3 for willful violations). One uncorrected pattern can cost much more than a year of software. See time clock rounding rules.

Include the cost of corrections after payroll. Each re-issued check costs time for you and trust with the employee. If a better process prevents even a few of them a year, that belongs in your comparison too, even though it is harder to put a number on.

Admin time: a second hypothetical example

Suppose a bookkeeper spends 3 hours per pay period collecting and keying hours from paper timesheets, at $30.00 per hour. With 26 pay periods, that is 3 x 26 = 78 hours and 78 x $30.00 = $2,340.00 per year. If automated totals cut the time to 1 hour, the cost is 1 x 26 x $30.00 = $780.00, a saving of $1,560.00.

Add the hypothetical $8,333.00 of avoidable overpayment and the total is $9,893.00. Compare that to the annual software fee in the quote you actually receive: if the fee is below the benefit, the system pays for itself. If it is above, check which assumptions are too optimistic. Replace every number with your own.

Questions to ask every vendor

Before you compare totals, make sure each quote covers the same things:

- What is the total annual cost at my headcount, including every fee?

- Is there a contract term, and what does cancellation cost?

- Which features are included: overtime calculation, scheduling, reports, PTO tracking?

- How long are records kept, and can I export them in a usable format?

- If a payroll integration is promised, which provider and what does it cost?

Use the same list to compare an app with hardware. See the time tracking software checklist for the full buying list.

When you build your own comparison, use a three-year view. Add the subscription for 36 months, the hardware (if any), setup and the admin hours, then subtract the savings you can defend. A three-year view smooths out one-time costs and shows whether the system keeps paying for itself.

How SimpleWorkshift Helps You Control Time Tracking Costs

SimpleWorkshift removes the hardware line: employees clock in and out from the iOS or Android app or the web, with GPS location captured with each entry. Overtime, including night shift differentials, is calculated automatically, which cuts the errors and the admin hours described above.

Work schedules, time bank, PTO tracking, custom reports and payroll closing are in the same system, so you do not pay for several tools. There are no contracts and you can cancel at any time. Check the current plan details and try it free for 30 days at simpleworkshift.com.
